Terms and Conditions
VEHICLE PICK-UP & DROP-OFF
Regular pick-up times are Mon-Sun 10:00 am – 4:00 pm.
Early and late pick-up times are available on a situational basis and will incur an additional cost depending on the season.
2 days before pick-up, you will need to secure the rental with a $1500 deposit on a credit card. Security deposits will be charged 2 days prior to departure and are refunded within 7 business days of return on the same credit card used. Cash deposits will be refunded via check within 7-10 business days. If opting to use awning, there is an additional USD 1000 refundable security deposit due at time of departure. In case you bring along your pet (dogs only), an additional pet fee of $50 is charged. Additional deposits may be required for special events.
Drop-off time is between 09:00 am – 5:00 pm. Vehicle must be returned with a full fuel tank and waste tanks emptied or a fee will apply. No refunds will be issued on early returns. Appropriate charges will be applied at the return for additional mileage usage.
OFFICE HOURS AND HOLIDAYS
Office hours: 09.00 am – 05.00 pm Mondays through Friday. We are open weekends and holidays by appointment only.
50% of reservation is charged at time of booking.
The remaining balance is due 14 days prior to date of pick-up. Kellville Vans reserves the right to cancel any reservation if payment has not been received in full.
Reservation deposit is refundable if canceled more than five days prior to booking start date
If you have paid in full and the booking is canceled more than five days prior to booking start date, a full refund is issued.
If canceled less than five days prior to booking start date, a partial refund of 75 percent of the full rental amount is issued, but the reservation deposit is non-refundable.
Minimum Rental Period
Minimum rental period is generally 4 days, unless otherwise stated.
RENTAL DAILY RATES
Daily Rates include
Vehicle rental, personal liability insurance, comprehensive vehicle collision insurance, unlimited generator usage, propane (at least 1/2 tank), Kitchen supplies (including pots, pans, utensils, plates, cups, bowls, kettle and coffee press are included in each rental). Camp chairs for your entire party will also be included. Coolers, BBQ’s, firewood, bear spray will be available for additional fees at pick-up on a first come first serve basis.
Daily Rates do not include
Preparation fee, mileage overage, gasoline refueling, additional toilet chemicals, security deposits, sales tax and other government surcharges if applicable.
Preparation Fee (not included in daily rental rates, payable per vehicle)
The Preparation Fee covers – Standard Vehicle Equipment, Vehicle Servicing, as well as the initial cleaning inside and outside of the vehicle.
Standard Vehicle Equipment (Included in cleaning and Preparation Fee)
Water hose, sewer hose, operator’s manual, 15/30 amp adapter, fire extinguisher, basic tool kit, BBQ lighter, vehicle levelers, water regulator.
Additional Mileage Charge
$0.35 per mile over the 100 included miles per day
EVENT SURCHARGES & HOLIDAY WEEKENDS
Season supplements and extended minimum rental periods may apply during some events and holiday weekends.
Credit Cards / Traveler Checks
We accept MasterCard, VISA, American Express and Discover credit cards as well as all Traveler Checks in US-Dollars. No Debit Cards, prepaid credit cards, Euro checks or personal checks are accepted. We are not responsible for exchange rate fluctuations or handling charges for any credit card transaction. Without any exception a valid credit card is required for each rental.
Public Liability Insurance (included in daily rental rates)
Kellville Vans maintains liability insurance coverage on all their rental vehicles for bodily injury and property damage liability claims brought by a third party (other than a passenger) against the renter (and any other driver listed in the rental contract) and/or the company as a result of the operation or use of their rental vehicles. The policy protects the company and the renter for statutory limits applicable in the jurisdiction where rented. This basic public liability coverage is included in all rental rates. All coverage and waivers are subject to the express terms of the rental contract.
SLI Supplemental Liability Insurance
Renters can purchase additional 3rd party liability, Supplemental Liability Insurance for an additional $14.95 a day. SLI may provide excess coverage for the difference between the underlying insurance and $1,000,000. The $1,000,000 limit includes a $50,000 property damage limit for 3rd party property damage. SLI policy limits are in excess of any/all valid and collectible underlying insurance.
Expenses are covered in the event of a mechanical breakdown requiring the vehicle to be in repair for more than 12 working hours as follows:
Deposit for all rentals is USD 1,500.00 (will strictly be enforced). We may use Renters’ deposit to pay all charges owed to us under this agreement.
A national automobile driver’s license is required. We recommend customers to carry a translation of the national driver’s license or an international driver’s license, but under any circumstances, customer must provide a valid national driver’s license at pick-up.
Minimum driving age is 25 years for all vehicles.
Fines and Traffic Violations
Customers are responsible for reporting and paying of all parking/traffic/toll road violations at rental termination. Non-payment of parking/traffic/toll road violations will result in an administrative charge of up to USD 50. Non-reported parking/traffic violations plus administrative charge will be charged against customers credit card or will be collected at customers domicile.
RESTRICTIONS AND PROHIBITED USES
The following uses of the Equipment are prohibited and are breaches of this Agreement. The Renters and Authorized Drivers shall not use or permit the use of the Equipment:
(a) by anyone who is not an Authorized Driver, or by anyone whose driving license is
suspended in any jurisdiction;
(b) by anyone under the influence of any drug or alcohol;
(c) by anyone who obtained the Equipment or extended the rental period by giving us
false, fraudulent or misleading information, or who withheld information that would have caused us not to rent the Equipment;
(d) in furtherance of any illegal purpose or under any circumstance that would constitute
a violation of law other than a minor traffic violation;
(e) to carry persons or property for hire;
(f) to push or tow anything other than the vehicle towing the trailer listed as Equipment,
to teach anyone to drive, or to carry objects on the roof of the Equipment;
(g) in any race, speed test or contest;
(h) to carry dangerous or hazardous items or illegal materiel;
(i) for travel outside of the United States or Canada, specifically excluding travel into
(j) when loaded beyond its capacity as determined by the manufacturer of the Equipment;
(k) on unpaved surfaces, except at designated campgrounds;
(I) to transport more persons than the Equipment has seat belts, or to carry persons
outside the passenger compartment;
(m) to transport children without approved child safety seats as required by local law;
(n) when the odometer has been tampered with or disconnected;
(o) when the Equipment’s fluid levels are low, or it is otherwise reasonable to expect
Renters to know that further operation would damage the Equipment;
(p) in a manner that causes damage to the Equipment due to inadequately secured cargo;
(q) after an accident with the Equipment unless and until Renters summon the police to
the accident scene; and
(r) for anyone sitting, standing or lying on the roof of the Equipment.
Kellville Vans allows pets (Dogs only) for a small pet fee of $50.00. The vehicle must be brought back in the same condition it was received, cleaned inside and free of pet hair. You are responsible for any damages caused by your pet.
Each motor home has to be winterized from October 15th to April 1st (period may vary depending on the weather and temperatures) to prevent freezing. This will include the water pipes, toilet, fresh water tanks, sink, shower, external shower, hot water heater and holding tanks. Winterization requires that water be drained from the fresh water tank, hot water heater and both waste tanks. Once the vehicle is winterized, no water can be put into the fresh water tank and it cannot be hooked up to the city water supply anymore. Therefore, no water at all is available in the motor home. The toilet, however, can still be used as long as windshield washer antifreeze is poured down to rinse. It is the renter’s responsibility to have the vehicle re-winterized on the return trip at his/her own costs (if de-winterized for a trip to an area with warmer temperatures). If the renter fails to do so, he/she will be charged a fee, regardless of the outside temperatures! In addition, the security deposit refund will be delayed until we can get the vehicle into the shop, thaw it out and pressurize the system. The renter will also be responsible for the cost of burst water pipes, water tanks, hot water system, water damage, etc.
REPAIRS & REFUND
Repairs / Refunds / Early Returns
Necessary repairs are refunded without previous authorization at discretion of Kellville Vans. Customer must provide receipts. Customer assumes full responsibility for any additional expenses incurred by reasons of a breakdown of vehicle. Radio, air conditioning, refrigerator, microwave, any appliances, plumbing, generator, awnings, cruise control and GPS malfunctions are not considered breakdowns and no refunds are made for repair time to these items.
Cleanliness and appearance of the vehicle must be addressed and resolved prior to departure; no refunds or other compensation regarding cleanliness will be issued.
ACCIDENTS / INCIDENTS
In case of any incident, customers must notify the police for a police report immediately. Also, call the drop-off station immediately to report the accident. Accidents/Incidents not reported within an appropriate period of time or if the police report and pictures are missing, may result in the voidance of the insurance coverage.
MAINTENANCE AND CLEANING RESPONSIBILITY
You are not required to clean the vehicle upon return but are expected to not create excessive cleaning from negligence due to weather conditions or off grid camping. Excessive cleaning fee will be incurred at the discretion of Kellville Vans. Customers are responsible to check all fluid levels at each refueling. Refills of all fluids (except gasoline, propane, and water) will be reimbursed at check-in upon presentation of receipts. Gasoline and Propane costs are not included in rental price. Gasoline tanks are full at pick-up and must be returned full. Waste water tanks must be empty or a fee will apply.
We strictly enforce a non-smoking policy in our vehicles. A penalty of $1000 will be charged at drop off if we detect cigarette, cigar, pipe etc. odors or ashes in the vehicle.
All rentals are subject to the terms and conditions of the rental contract. Prices, policies and conditions are subject to change without notice.
